Xero Gemini app: what it can read, and what to check first

The Xero Gemini connector reads live cash, overdue invoice and profit figures. Any change to Xero data needs your explicit confirmation before it runs.

You keep your books in Xero, and you have heard you can now ask Google Gemini about them. Xero announced the connected app on October 14, 2026, so this is no longer a rumor. The real questions are what Xero Gemini can see, whether your account qualifies, and whether you can trust what it says.

Xero describes the app as bringing "live financial intelligence and Xero data directly into Gemini conversations." You can ask it about cash, profit, unpaid invoices and unpaid bills, and it answers from your records as they stand right now.

It is also not available to everyone. Google lists the app for personal Google Accounts only, for users aged 18 or over, in English, and not in the European Economic Area, Nigeria, Switzerland or the United Kingdom.

You can check all of it alone in about ten minutes, and the result tells you whether to connect, wait or ask for help.

Key Takeaways

Questions it answers

Xero says you can ask about cash position, profit and loss, income and expenses, balance sheets, overdue invoices, unpaid bills, high-revenue customers and recurring subscriptions.

Who can connect

Google lists personal Google Accounts only, aged 18 or over, English, outside the EEA, Nigeria, Switzerland and the UK. A work account may not qualify.

Your data has two policies

Xero says its data is not used to train Google Gemini models. Google says Gemini activity can train models when Keep Activity is on, and that a subset of connected-app content may be seen by human reviewers.

Compare before you act

Answers come from live records, drafts included. Check one known figure against the matching Xero report, and approve nothing that changes your books until you have.

Ask Gemini who owes you money and get an answer from live Xero data

The first thing you will want to try is the question you would otherwise open three reports to answer. Xero says the app works from live data and lists what you can ask about. Think of it as a faster way to read records you already keep, not as a new set of books.

Xero's list covers profit and loss, income, expenses, balance sheets, cash position, overdue invoices, high-revenue customers, recurring subscriptions and unpaid bills. It also covers vendors, organization details, currencies, and customer or supplier contacts. Gemini can also draw charts, such as net profit and loss graphs and aged receivables distributions.

Plain questions with a date range work best. Try "Which invoices are overdue?", "What is my current cash position?" or "Show my profit and loss for last month."

The books stay where they are. Gemini reads them and reports back.

Know in two minutes whether your account can connect

Eligibility is the gate, and it comes before any setup. Google publishes the requirements in its availability table for connected apps, and Xero's announcement names the excluded regions.

A Google Workspace account, the kind you get through a company domain, may not qualify, because the listed requirement is a personal account. If you read about the Workspace side of Gemini, Gemini in Gmail and Google Workspace covers what that account type gets.

Plans are the other question. Check the eligibility screen in Gemini and your plan on Xero's pricing plans page instead of relying on a plan name from a forum or a news recap.

Connect Xero in a few steps, and disconnect just as easily

Google says you can connect an eligible app from Gemini in two ways. Type `@` in a chat and pick the app, or open Gemini's Connected Apps settings. Google's connected apps help page has the current menu names.

On the web, the path is Gemini, then Customize or Settings, then Connected Apps (or Connectors), then Add beside the app. You then follow the sign-in and authorization prompts. Xero Central says connected-app access runs through a sign-in and consent flow, and that your Xero password is not shared with the app provider.

Read the authorization screen before you approve it. It shows which organization you are connecting and what the app asks to access, and that is the permission list that applies to you.

To disconnect, open Connected Apps, select Xero, choose More options, then Disconnect. One detail matters here. Google says disconnecting does not delete what is already stored in Gemini Apps Activity, and deleting Gemini activity does not delete data another app already received.

Decide what Google keeps before you connect

Two companies are involved, and each makes its own statement. Keep them apart. Xero says the financial information shared between the platforms is used only for your session and that Xero data is not used to train Google Gemini models. That is Xero's statement about Xero data.

Google's statement is about Gemini activity. When Keep Activity is on, Google says activity is used to provide, develop and improve its services, including training generative AI models. Activity is deleted automatically after 18 months by default, and you can pick 3 months, 36 months or no automatic deletion.

When Keep Activity is off, Google says future chats are not saved to your activity and are not used to train its models unless you send feedback. Google still keeps future chats for 72 hours to run Gemini, process feedback and protect users. These settings are described in Google's Gemini Apps Privacy Hub.

Your Keep Activity setting decides how long chats stay in your Google activity.

Google also says a subset of chats and connected-app content may be reviewed by trained human reviewers. Reviewed chats and related data can be kept for up to three years and are disconnected from your account. Google's page on connected apps advises against connecting apps that hold confidential information you would not want a reviewer to see.

So, make the call with those two statements side by side. Look at your Keep Activity setting before you connect. Then decide whether a reviewer seeing a customer name or an invoice amount is acceptable for your business.

Trust a number after one ten-minute test

Gemini answers from your Xero records as they stand. Xero says drafts, uncoded items and incomplete records can shape the result. If a bill is still in draft or a bank line is uncoded, the answer will reflect that, and it may not match the report you expect.

Xero describes Gemini as preparing a first pass, and its follow-up post says "the review step and final judgement stay with the accountant and the business owner." Google also says Gemini can produce inaccurate or low-quality responses.

So, treat the app as a way to retrieve and summarize records. It is not an accountant and it is not a tax adviser. Run this check once, before you rely on it.

A ten-minute test with one known answer

  1. 1

    Minutes 1 to 2

Confirm the Google Account is personal, you are 18 or over, Gemini is set to English, and your country is not on the excluded list.

  2. 2

    Minutes 3 to 4

Open Connected Apps and your Gemini Apps Activity settings, and pick the Xero organization you want to connect.

  3. 3

    Minutes 5 to 7

Ask one question you already know the answer to, such as your overdue invoices for a stated month.

  4. 4

    Minutes 8 to 10

Open the matching Xero report and compare period, organization, currency and totals. Check drafts and uncoded items if a figure is off.

Do not send an invoice, a payment reminder or anything to a customer during the test. If the figure matches, you have a quick way to read your books. If it does not, you have found a records problem worth fixing in Xero before any AI sits on top of it.

Stay in control when Gemini can change your books

Today the app reads. Tasks that create or change data, such as issuing an invoice or sending a payment reminder, are listed as coming soon. They are not available, so do not plan around them yet.

Xero's announcement is specific about how they will work. It says "any operation that modifies financial data, such as issuing an invoice or sending a payment reminder, requires explicit user confirmation in Xero's connected app in Google Gemini before execution." Xero adds that task features will come to eligible plans. Confirm which plans with Xero before you build a workflow around them.

When tasks arrive, set the rules in writing first. Decide who may approve a change, which actions need a second person, and which ones never run from a chat. An AI use policy for a small business is the place to record them.

Spot the setups where paid help pays for itself

You can run the ten-minute test alone, and a clean ledger with one user may need nothing more. Stop before connecting if your records are messy, or if several Xero organizations and several people share access. A wrong organization, a draft-heavy ledger or an unclear approval rule is where a connected app creates confusion instead of speed.

Pause and get help first if any of these fit

Messy records

Uncoded transactions, long-running drafts or unreconciled bank lines will shape every answer.

Several organizations

You need to know which one is connected before you ask a single question.

Shared access

More than one person using the connection calls for written approval rules.

Sensitive data

Anything you would not want a reviewer to see needs a decision before you connect.

Gmail workflows

Xero says future tasks may involve Gmail, which raises the number of accounts to set up.

Paid help is reasonable here. The work is confirming eligibility, connecting the right organization, documenting permissions, setting activity controls, testing known answers against Xero reports and writing the approval rules. It does not turn Gemini into an accountant. If you want a view of the wider options, AI integrations for your business covers how connected tools fit into daily work.

Frequently Asked Questions About Xero Gemini

Can Gemini read my Xero data?

Yes, once you connect the app and approve the sign-in. Xero says it answers from live Xero data, covering items such as cash position, profit and loss, overdue invoices, unpaid bills and contacts.

Can Gemini change my Xero records?

Tasks that create or change data are coming soon and are not available. Xero says any operation that modifies financial data requires explicit user confirmation in Xero's connected app in Gemini before it runs.

Which Google Account do I need?

Google lists a personal Google Account, aged 18 or over, using English. A Google Workspace or work account may not qualify, so check the eligibility screen in Gemini.

Where is the Xero Gemini app not available?

Xero says it is available wherever Gemini Apps are supported except the European Economic Area, Nigeria, Switzerland and the United Kingdom.

Does disconnecting Xero delete my Gemini chats?

No. Google says disconnecting an app does not delete information already stored in Gemini Apps Activity. You can delete that activity separately in your Gemini settings.

Is the answer accounting or tax advice?

No. The app retrieves and summarizes your records. Xero says the review step and final judgment stay with the accountant and the business owner, so take tax questions to your accountant.

What This Means for You

You can ask Gemini about your cash, your profit and the invoices people owe you, using live Xero data, if your account qualifies. Check the account type, age, language and country first. Connect from Gemini, read the authorization screen, and look at your Keep Activity setting, since Xero's data statement and Google's activity policy cover different things.

Run the ten-minute test with one figure you already know. That check tells you how far to trust a summary built on drafts and uncoded items, and it takes about as long as opening a report. When tasks that change data arrive, the confirmation step is yours, so write down who approves what before the feature exists.

If your records are messy or several people and organizations share access, we can help.
